Share dashboards
You can share a single dashboard, share dashboards in bulk through a team space, and send data metrics to the relevant people on a schedule through dashboard digests.
Share a single dashboard
Dashboards created under My Space are visible only to you by default. After you finish building a dashboard, you can add other project members as its viewers or editors to share it with your team.
Choose who to share with
Click the Share icon in the upper-right corner of the dashboard and select Share from the drop-down menu to open the dashboard sharing settings.
By default, a dashboard is visible only to you. You can share it with:
- Project: visible to all members in the project
- Team: visible to members of the team
- Specified members: visible to the specified members
Set viewers or editors
Depending on your needs, you can set the people you share with as dashboard admins, editors, or viewers:
-
Viewers can only view the dashboard and can't adjust its content or display
-
In addition to viewing the dashboard, editors can perform the following operations on the dashboard and its components:
- Add or delete dashboard components
- Modify all reports on the dashboard and change how the dashboard's reports are displayed
- Edit dashboard settings (including update mode, approximate calculation, and time zone settings)
- View the dashboard's sharing status
-
In addition to editor permissions, admins can also:
- Share dashboards
- Move the dashboard
- Delete the dashboard
After sharing, the members you shared with can view the dashboard in the Shared with me folder.
Share through a team space
When you have many dashboards, managing them under My Space makes it hard to categorize them and for team members to view them together. In this case, you can create a team space and add space members to share dashboards within the space.
- Dashboards in a space are visible to space members by default
- Members with the Viewer space permission can only view the space's dashboards and have no permission to edit the space
- Members with the Editor space permission have editor permissions on all dashboards in the space, and can create dashboards or folders in the space, drag to reorder the space's content, and more
For a specific dashboard in a space, you can also click Share in the upper-right corner of the dashboard to share it with people who aren't space members. The members you shared with can then view the dashboard in the Shared with me folder.
Dashboard digests
You can use dashboard digests to send dashboard data on a schedule to specified email addresses or to third-party tools such as WeCom, DingTalk, and Feishu.
Digest settings
Sending method
You can send dashboard content through Send Digest Updates or Send Now.
- To send dashboard content periodically, turn on Send Digest Updates and select the sending frequency and time. Daily and weekly sending are supported
- If you don't need scheduled sending, or want to check how the digest looks, click Send Now after you finish configuring it
Send through
To send by email, the dashboard creator must first bind an email address in Personal Center → Account Security. By default, dashboards can be sent only to project members who have bound an email address. If your system has the SMTP email service enabled, you can also add external email addresses. For how to bind an SMTP service, see Email SMTP configuration.
- Third party
Includes WeCom robots, DingTalk robots, Feishu robots, and more. For how to get a robot's webhook address, see:
- WeCom robot: link
- DingTalk robot: link
- When a Feishu robot sends content with images and text, you need to verify the app id, app secret, and webhook address. For how to get them, see this link
Message Configuration
-
By default, the message includes an image of the dashboard. For dashboards with many wide tables, you can choose to send in Extended width. In this mode, the dashboard is sent at 1.5 times the standard screen width, so more information fits horizontally (a wide event analysis table with about 15 columns can be shown in full).
-
You can choose whether to send the dashboard data as CSV files. CSV files are sent in one of two forms:
-
A zip of the CSV files, sent when the CSV files are smaller than 30 MB and the system has an SMTP service configured
-
A download link for the CSV files with an extraction code. After clicking the link, the recipient must enter the correct extraction code to download the original CSV files. The download link expires 30 days after it is generated. The download link is sent in the following scenarios:
- Sending through WeCom, DingTalk, or Feishu robots
- Sending by email without an SMTP service
- An SMTP service is available and the CSV files are larger than 30 MB
-
-
The message consists of a subject and a body, which you can customize separately. Custom text supports 4 placeholders: $[Dashboard Title]$, $[Date]$, $[Yesterday Date]$, and $[Update Time]$. The latest information is filled in automatically when the message is sent.
-
If the dashboard being sent involves Annotations in this project, the time and content of all of the dashboard's Annotations are shown in full in the image footnote.
Digest calculation logic
A dashboard with scheduled sending runs a calculation at the sending time and sends the results once the calculation completes. The data is calculated according to the following rules:
- Time zone: calculated in the time zone specified in the digest settings
- Data permissions: calculated with the data permissions of the dashboard creator
- Filter state: calculated with the dashboard's default filter state
View sending status
On the task page, you can view the progress and status of Send Digest Updates and Send Now tasks completed in the past 24 hours and those currently in progress.
System super admins can also view the sending status of each dashboard on the Manage Dashboards → All dashboards in project page, including whether Send Digest Updates is turned on and the target channels.
If a sending task fails, you can retry it from the list. If a channel error occurs (such as incorrect channel information or an expired email binding), go to the digest settings page, correct the information, and then try sending manually again. For channel errors, the error code used by that channel is returned, and you can look it up in the channel's official documentation to locate the problem. To view the error code, hover over Failed.

Other common errors include daily report generation failures. Possible causes include, but aren't limited to, an incorrect Chrome installation after scaling out or migration, and dashboard loading timeouts. Contact your O&M team to troubleshoot.
