Public link management

Set pages in AE as public links to allow public access without an account and help break down silos between departments. You can embed them in internal systems, documents, web pages, messages, and more to share knowledge easily.

To set up and manage public links, you need the Create, edit, and manage public links permission. Check with your admin to confirm you have it.

Select the dashboard or BI dashboard you want to set up as a public link, click Share in the upper-right corner, and select Public Links. The Share through public links dialog appears. If there's no valid link yet, click Create dashboard link in the dialog to create one in a new tab. You can also create one directly on the Public Links page in Project Settings.

By default, a link is valid for 7 days. You can manually adjust the start and end time of the validity period. Accessing the link outside the validity period fails.

Public links for dashboards support custom parameters to fit your use case:

  1. Show dashboard title: when the dashboard is accessed through a public link, you can choose not to show its title. This suits scenarios where the dashboard is embedded in other pages.
  2. Show dashboard global filters: through a public link, users can't modify the global filter conditions, and you can choose not to show the filter conditions to viewers. This suits scenarios where the filter conditions are sensitive or are used to remove dirty data.
  3. Allow refreshing the entire dashboard: you can choose not to provide the Refresh dashboard entry to public link viewers, which avoids unnecessary computation and keeps data definitions consistent.

Other dashboard capabilities can't be configured yet. Note that data drill-down, downloading, report editing, and similar capabilities are never available through public links. After you generate a public link, you can copy the link address to share or embed it. If the public link is deleted from the Public Links module, access to it fails.

Note

When a dashboard is accessed through a public link, account data permissions don't apply. To restrict the data range that viewers can see, use dashboard filters to filter out sensitive data, and use the Show Filter setting to show or hide the data range.

You can view the Change Log to see actions such as creating, editing, and deleting public links. You can also use Expire now on a public link to stop access to it immediately.

By default, each project can have at most 5 public links that are active or about to take effect. Once the limit is reached, you can't create more public links. System admins can view and manage all public links in System Settings - General Configuration - Public Links. If you need more public links, contact your customer success manager to purchase more.

Other restrictions​

Public links don't bypass intranet restrictions. Public links generated in a private deployment cluster with intranet restrictions can't be accessed outside the intranet.
