Space Memory
Space Memory captures information that stays useful to the current workspace over the long term, so that later conversations in the same space carry forward a stable background and conventions.
Intended for: workspace users and members with permission to maintain memory.
Search keywords: Workspace memory, long-term background, conventions, cross-conversation memory.
About Space Memory
Space Memory is suited to facts, principles, and constraints that you need again and again, such as "Project reports always use Beijing time" or "External summaries state the conclusion first, then the supporting evidence." Keep each entry to one clear convention that stays valid over the long term. Write information needed only for the current task directly in the current conversation.
Switch to the target workspace and open Space Settings > Space Memory to view the space's active memories. Space Memory belongs to the workspace, so you don't need to maintain it separately for each Agent. For the conditions of use, see "How memory takes effect in conversations" on this page.
To review a complete exchange, read Conversations. To manage structured documents and searchable materials, read Knowledge base. To reuse operating steps and methods, read Skill. Space Memory doesn't replace any of these.
Add and maintain memory manually
Add a memory
- On the Space Memory page of the target space, click New Memory. Regular members of a shared space see Submit Memory instead.
- Fill in Memory Content, and fill in Title if needed. The content is required and can be up to 4000 characters. Before saving, confirm that the content is suitable for long-term retention and, in a shared space, suitable to be visible to space members.
- When a personal space user or a shared space Owner or admin clicks Save, the memory takes effect immediately. When a regular member of a shared space clicks Submit for Review, the suggestion goes to Pending review and doesn't take effect yet.
When you finish, content that took effect immediately appears in the Space Memory list. Regular members can check the status of their suggestions in My Submissions.
Find, edit, and clean up
Search the list by title or content, and click View Full Text and History to open the details. To update the content, click Edit: roles that can maintain memory directly click Confirm and Activate, and regular members of a shared space click Submit for Review. The original memory stays unchanged until the suggestion is approved. Edit History shows confirmed content changes.
A personal space user or a shared space Owner or admin can pin, unpin, or delete active memories from More Memory Actions. Pinning highlights important content, but doesn't guarantee that every answer uses it. A deleted memory is no longer available to new conversation runs. You can restore it from the Deleted list, and its edit history is kept.
Note: The restore described above applies only to active memories. Permanently Delete This Draft in Pending clears the draft's content and title, and it can't be restored. Active memories aren't affected, and a later extraction may still generate a new draft with the same content.
Review memory content regularly. Keep information that is still accurate and has long-term value, and promptly handle records that are outdated, duplicated, or no longer applicable.
Extract memory from conversations
Extract this conversation manually
- Open one of your own conversations in the current space, and click Extract This Conversation in the conversation toolbar.
- Click Start Extraction. The system processes the complete conversation as of the moment you trigger it; messages added afterward aren't included in this run. Closing the window doesn't cancel a task that has been accepted.
- After the extraction succeeds, click View Pending to check the generated private drafts. If Extraction succeeded. No new drafts were generated. appears, the run has completed but produced no new pending content. This doesn't mean the task failed.
Extraction treats the information you provide in the conversation as the source of facts. The assistant's answers are used only to understand the context, and tool outputs aren't treated as a source of facts. A successful extraction doesn't mean the memory has taken effect; you still need to confirm or review it as described in the next section.
Auto extraction and excluding conversations
Turn on Auto Extraction on the Space Memory page to generate private drafts from successful turns added after it is turned on, in supported regular web conversations in standard mode. Earlier history isn't processed retroactively. A personal space user or a shared space Owner or admin can change the space-level switch; regular members of a shared space can view the switch status.
If you don't want one of your conversations to keep triggering auto extraction, turn on Exclude This Conversation from Auto Extraction in that conversation's Extract This Conversation window. You can still extract the complete conversation manually after excluding it.
Turning off auto extraction or excluding a conversation only stops later automatic triggers; tasks already accepted still complete. After you turn it back on or cancel the exclusion, turns from the period when it was off or excluded aren't processed retroactively. Content generated by auto extraction also goes to Pending first and isn't written directly to active memories.
Confirm drafts and shared review
Pending is your own private draft area. Other members, including the shared space Owner and admins, can't read it. Open a draft, review and edit its content first, and then complete the next step according to your role:
| Current role | Action when confirming a draft | Status afterward |
|---|---|---|
| Personal space user | Confirm and Activate | Becomes an active memory of the current personal space |
| Regular member of a shared space | Submit for Review | Creates a suggestion pending review; doesn't take effect until approved |
| Shared space Owner or admin | Submit and Approve | Becomes an active memory of the current shared space |
What you submit is the text you confirmed. The full source conversation and the original excerpts aren't made public along with it. Review permissions also don't grant access to your private conversations or your other pending drafts. Before submitting, remove any information that isn't suitable to be visible to space members.
The shared space Owner or an admin views suggestions in Pending review and selects Approve or Reject, and can add a comment when rejecting. New or changed content becomes an active memory only after approval. Submitters can check the results in My Submissions and withdraw their own suggestions that are still pending review. A withdrawn suggestion is no longer reviewed, and its history is kept.
If the memory that a suggestion modifies has already been updated by someone else, the review may show Conflict, and the newer version isn't overwritten. The submitter can select Resubmit Based on Latest Version, adjust the content against the current memory, and create a new record pending review.
How memory takes effect in conversations
Space Memory is isolated by workspace. Personal spaces and shared spaces each maintain their own memory scope, and members can access only the spaces they are allowed to enter and the content visible in them.
Only Active memories are available to later conversations. Pending drafts, suggestions pending review, and deleted memories aren't provided as active memories. Active memories of a shared space are available to members and Agents with the corresponding access in the current space, not just the submitter or a single Agent, and they aren't carried into other spaces automatically.
Space Memory is used automatically in regular web conversations that you start yourself, when the conversation uses standard mode and both the current space and the Agent are accessible. Fast mode, public group chats, and Team conversations don't use this path. To learn about conversation entry points and modes, read Conversations. To manage Agents, read Agent.
Taking effect means a memory is available for use, not that every answer uses all memories. Agents use relevant content based on the current task, and memory doesn't expand tool or data access permissions. Content changes apply to later runs and don't rewrite answers that were already generated.
Times Used and Last Used in the memory details help you understand usage. Only viewing a memory or listing it as a candidate doesn't count as using it. Usage counts are updated after the answer completes, and a count that hasn't updated isn't, on its own, evidence that the feature isn't working.
FAQ and next steps
The extraction succeeded, so why don't later answers use it? First check whether the content is still in Pending or Pending review, and then check whether the current conversation is in the same space and meets the conditions of use, such as standard mode. Even an active memory may not be used if it isn't relevant to the current question.
What if I can't extract? If a task is already running or capacity is insufficient, wait and try again. If the sandbox is unavailable, check the space's sandbox binding first. If the model configuration, credentials, or connection are unavailable, contact an admin to resolve it and try again. A failed extraction doesn't publish partial drafts, and you can still view and manually maintain memory. For personal sandbox settings, see My Sandbox. For shared space binding and management, see Create a space.
Can I still confirm a draft if its source conversation can't be opened? When the source conversation is inaccessible, you can't extract from it again or open the source, but existing drafts can still be edited and confirmed. Verify that the content is accurate yourself before confirming.
Why are there no review, delete, or restore entries? Regular members of a shared space can only submit suggestions. They can't directly govern active memories or review other members' suggestions. After a space is archived, memory and history are view-only. For member roles and permission settings, see Create a space.
What if saving says the content is a duplicate or has been modified? For duplicate content, check the existing memories first; the system doesn't save duplicates. For a version conflict, your current input hasn't been saved yet. Keep your changes yourself first, then click Load Latest Version and edit again against the new version. Conflicts in suggestions pending review are handled with Resubmit Based on Latest Version.
