Tasks
Tasks record the goals and issues in a workspace that need ongoing work, and organize related conversations and outputs into one working context. They build a business context shared by people and Agents, so that AI can understand the business, take action, and keep accumulating results.
Intended for: task participants in a workspace.
Search keywords: Task, Issue, tasks, progress, related conversations.
Create and find tasks
Create a task when you need to keep working toward a business goal, track an issue, or collect results from each stage. For a one-off exchange, use Conversations directly. Tasks organize goals, progress, and results, while conversations are for specific discussions and execution.
- Switch to the target workspace, go to Tasks, and click New Task.
- Fill in Title and Goal and Description. In the description, we recommend stating the problem to solve, the expected result, and any necessary background. Add tags as needed, separating multiple tags with commas.
- In a personal space, a new task is owned by you by default, so you don't need to select anyone. In a shared space, the default owner is you; you can select another active space member and add collaborators.
- Click Save. After the task is created, it appears in the current space's list with a task number, and its initial status is In progress.
You can search the list by title or description, filter by status or owner, and switch between card view and list view. Unarchived tasks are shown by default. To find archived content, set the status filter to Archived. Click a task to open its details, where you can view Progress, Related Conversations, Files, and Operations Log. To view the work status of the whole space, read Space overview.
Maintain tasks and collaboration permissions
In More actions on a task card or list row, select Edit Task to adjust the title, goal and description, tags, owner, and collaborators according to your permissions. After you save, the latest details apply. Each task has one current owner and can have multiple collaborators. The owner and newly added collaborators must be current active space members.
In a shared space, tasks are visible to all active space members. In the table below, "task managers" means the task creator, the current owner, and the space Owner or admins. One person can hold multiple roles at the same time.
| Action | Who can do it |
|---|---|
| View, search, and create tasks | Current active space members |
| Add progress, notes, and attachments; update task status | Task managers or collaborators |
| Edit the title, description, and tags; manage collaborators; archive or restore; unlink files | Task managers |
| Change the owner | Task creator, or the space Owner or admins |
| Start a conversation from a task, or set a task as the primary task of your own conversation | Current owner or collaborators |
Management permissions aren't the same as conversation-linking permissions: if the creator or a space admin isn't the current owner and hasn't joined as a collaborator, they can't link the task based on their management role alone. After a member leaves the space, their history can be kept, but their past roles no longer grant access to the space. To adjust space members and roles, read Create a space.
Move tasks forward through conversations
Start a conversation from a task
- Open the details of an unarchived task. As the current owner or a collaborator, click Start Conversation.
- In the blank new conversation that is linked to the task by default, check the current space and task, select an Agent as needed, and enter what you want to discuss or execute this time.
- Send the first message. The primary task link is saved after the conversation is created and the message is accepted. Opening a blank conversation alone doesn't mean execution has started.
The primary task tells the Agent which business goal it is currently working on. When handling task-related work, the Agent reads context such as the goal, progress, and attachments as needed. The link itself doesn't automatically publish conversation content, and it doesn't authorize the Agent to change the status, owner, or shared progress. For specific conversation operations, read Conversations.
Link, switch, and unlink the primary task
For a regular new conversation, select a task in the current space from the Select Task entry in the input area. For an existing conversation, click Link Task in the Tasks sidebar. The candidates include only unarchived tasks in the current space where you are the owner or a collaborator.
A conversation has only one primary task at a time. When a task is linked, click Switch Task to change the target, or click Unlink Primary Task to remove the binding. After the operation succeeds, check the task number and title shown. If the conversation is running, queued, or waiting for a user response, end the current execution before switching or unlinking.
Switching or unlinking the primary task doesn't delete existing conversation history, nor does it clear the historical context. Later work uses the current link as the default target. Unlinking also doesn't delete progress or files already saved to the task.
Conversation privacy: The task's Related Conversations shows only your own conversations. Sharing a task doesn't mean sharing all participants' chat history. Other members don't get your conversation titles and content just because they can view the task. To share conclusions, record the content suitable for sharing in the task separately, and share files through an explicit publish action.
Record progress and view history
- Open an unarchived task and click Add Record / Attachment. You can also go there from More actions > Add Progress on a card or list row.
- Fill in the content, and enter a title and select a record type as needed. To record stage progress, explicitly select Progress Update. To add background or an explanation, select Note. To save a web address, select Link.
- Add attachments as needed and click Append. After the record is saved, check it in Progress and check the attachments in Files.
The record type defaults to Automatic: if the content is only one HTTP(S) address, it is saved as a link; any other text is saved as a note. The system doesn't automatically classify a record as a progress update based on the meaning of the text alone. When you select a type manually, your selection applies. The title can be left blank. If you only add attachments, you can leave the content empty; in that case, only the files are linked and no empty record is created.
Click Edit Record on a manual record you have permission for to change its type, title, and content. Record authors can edit their own records, and task managers can edit manual records. Records can't be edited after the task is archived. If someone else has updated the record, keep your own changes first, then reload and check the new version. Don't overwrite it directly.
Progress collects progress updates, notes, and links. Operations Log records changes such as status, collaborators, and file links. In a shared space, the operations log also shows who performed each action. System operation logs can't be edited as manual records. To turn conclusions from a chat into shared facts, first organize the content suitable for sharing, and then add it to the task.
Link files and deliverables
Add local files or space assets
Task managers and collaborators can add attachments to unarchived tasks. In Add Record / Attachment, select Local upload or Select from Space Assets, and then click Append. Local files are first uploaded as space assets and then linked to the current task. Each file can't exceed 50 MB. In a shared space, uploaded files belong to the space assets and are no longer just private material within a conversation.
If you only need to link existing files, you can also go to Files in the task details, click Link Space File, select an available file in the current space, and confirm. When you finish, the attachment should appear on the Files tab. Click an available file to view its content.
Publish conversation outputs and link them to a task
Files produced in a conversation must be shared explicitly through the file's publish menu. If the current conversation is linked to an unarchived task you have contribution permissions for, the publish dialog selects Also link as an attachment to "Task title" by default. You can clear it to publish the file only. Before confirming the publish, check the target space, the file content, and the task.
After the file is published and linked, it becomes a space asset and also appears in the task's file list. If a message says the file has been shared but not linked yet, use Retry Link to add the link. You don't need to publish the same file again. For how to use conversation outputs, see Conversations.
Unlink: Task managers can select Unlink in More actions on a file row. This only removes the link between the file and the current task. It doesn't delete the space file or make a shared file private again. Before sharing, confirm that the content is suitable for space members to view.
Completion, archiving, and FAQ
A task's status can be updated among In progress, Paused, and Completed. When the goal is reached, first record the conclusions and related results, and then set the status to Completed. You can still add content to a completed task.
When a task no longer needs day-to-day follow-up, task managers can archive it through More actions > Archive Task. Archived tasks are read-only and no longer appear in the default unarchived list. To continue working on one, filter by Archived and select Restore Task. After restoration, the task keeps the status it had before archiving, and actions you have permission for are available again.
Why can I view a task but not edit it or start a conversation? Viewing, contributing, managing, and linking conversations are different permissions. First check whether you are the owner, a collaborator, or a task manager. In particular, to start or link a conversation, you must be the current owner or a collaborator. Also check whether the task has been archived.
Why can't I find a task in the link candidates? Confirm that you're in the same space, that the task isn't archived, and that you're its owner or a collaborator. You also can't switch the primary task while an existing conversation is still running.
What if saving says the task or record has been updated? Keep your unsaved changes first, reload the latest content and compare, and then submit the changes you want to keep.
What if an attachment uploaded successfully but isn't linked? Retry the unfinished linking step as prompted, and check the result in Files. Don't treat a successful upload as a successful link to the task. If a file shows as unavailable, check whether the space file still exists and your current access permissions.
