Create a space
This page describes how to create personal spaces and shared spaces, and the capability and permission settings to complete after creation.
Intended for: personal space users, and shared space creators and managers.
Search keywords: Create workspace, personal space, shared space, space capabilities, members and permissions.
Choose a personal space or a shared space
A personal space organizes the capabilities, conversations, and content of your long-term personal work. A shared space lets multiple members collaborate around a common goal. Choose the space type based on how you will use it.
| Comparison | Personal space | Shared space |
|---|---|---|
| Use cases | Personal research, learning, or ongoing work | Team jointly maintains background, capabilities, and collaborative content |
| Who can create | Users with an available personal sandbox | Super Admins or Agent admins |
| Runtime environment | Uses your own personal sandbox | The system prepares a dedicated space sandbox at creation |
| Maintained by | Personal space creator | Owner and space admins; other members collaborate |
If you only want to join an existing team, contact the Owner or a space admin of that shared space to add you as a member. You don't need to create another space.
Create a personal space
Prerequisite: Your personal sandbox is available. If the create entry can't be clicked, check the runtime environment in My Sandbox first.
- Click the current space name at the top left of the workbench to open the space switcher panel.
- In the Personal Space group, click New workspace.
- Enter a space name, and optionally add a description of its purpose and set an avatar. The name must be 1–100 characters, and the description can be up to 500 characters. A user's personal space names must be unique.
- Click Create Space and wait for the creation to complete.
Done when: The new space appears in the personal space list, and the current space switches to the new space. Continue to configure space capabilities, or start a conversation to begin working.
Create a shared space
Permission requirements: The creator needs Super Admin or Agent admin permissions and must belong to the current company. Being the Owner or a space admin of an existing space doesn't mean you can create a new shared space.
- Open the space switcher panel and click New Shared Space in the Shared Space group.
- Enter a space name, and optionally enter a space description and set an avatar. The name must be 2–30 characters and can't be the same as an existing shared space in the current company. The space description can be up to 200 characters.
- Select the Space Owner. The candidate must be an enabled user in the current company. You can select yourself or designate another owner.
- Click Create Space. After you see Shared space creation task submitted, click View creation progress and wait for the system to finish preparing the environment.
Done when: You can start conversations only after the shared space has been created and is available. Task submitted only means that creation has started, not that the space is available.
After creation, the designated Owner becomes the first space member and then adds collaborating members. If the creator and the Owner are different people, the creator doesn't automatically become a space member just by submitting the creation task.
If the status is Creation Failed or a message says that the limit has been reached, the creator checks the cause on the shared space management page and handles it. For sandbox, resource, or organization-level administration, read System Admin.
Configure space capabilities and the default Agent
Space capability settings let you select the default capability references for the current space. Switch to the target space first, and then open Space Settings > Space Capability Settings at the bottom left.
| Capability type | What to set in the space | When you need to create or modify the capability itself |
|---|---|---|
| Agent | Add available Agents and specify the default Agent | Read Agent |
| MCP | Add default tool connections | Read MCP |
| Skill | Add default working methods | Read Skill |
| Knowledge base | Add the default knowledge scope | Read Knowledge base |
- In the corresponding module, click Add Agent, Add MCP, Add Skill, or Add Knowledge Base.
- Select the capabilities you need from the available candidates and click Save. When you see Space default capabilities updated, confirm the selections in the module.
- To change the default Agent, click Set as Default next to an added Agent and confirm that the Default label has moved.
Default Agent: New conversations that don't specify an Agent use the space's default Agent. Changing the default Agent doesn't automatically switch existing conversations to the other Agent. The general Agent is always kept. Before you remove the current default Agent, set another Agent as the default first.
Default settings and usage permissions: Space default capabilities are not an allowlist of available capabilities, and authorized capabilities that aren't in the default settings remain valid. Actual execution still requires the current account's permissions, resource availability, and authentication. If you need to connect or re-authenticate an MCP, read MCP authentication.
Public and personal scopes: Personal capabilities can't be added to the public configuration of a shared space. My personal capabilities are visible only to you. Your personal default selections are saved per space and Agent and don't become public configuration for other members.
Remove capabilities: Clicking Remove next to a capability only cancels its default reference in the current space. It doesn't delete or modify the original Agent, MCP, Skill, or knowledge base in the Capability Center.
Manage members and permissions
A personal space is maintained by its creator, so you don't need to add space members. For a shared space, switch to the target space, open Space Settings > Members & Permissions, and manage members by the following roles.
| Action in the space | Owner | Space admin | Space member |
|---|---|---|---|
| View members and space default capabilities | Yes | Yes | Yes |
| Modify space information and public capability configuration | Yes | Yes | No |
| Add and remove non-Owner members | Yes | Yes | No |
| Change the admin/member role of non-Owner members | Yes | Yes | No |
| Transfer Owner in space settings | Yes | No | No |
Add Member: Click Add Member, select users in the current company, and then click Confirm and Add. You can select multiple users at once. New members are space members by default. When you finish, check the member list. If a message says that some additions failed, handle only the members that failed.
Change roles: Next to a non-Owner member, click Set as Space Admin or Change to Space Member, and confirm that the role in the list has been updated.
Transfer Owner: The current Owner clicks Transfer Owner, selects a successor from the existing space members, and then clicks Confirm Transfer. After the transfer, the new owner becomes the Owner, and the original Owner remains a space member. The Owner can't be removed or demoted directly; complete the transfer first.
Remove Member: Click Remove next to the target member and confirm. The member can no longer access this shared space, but their private conversations are not transferred to other members.
Privacy boundary: The governance permissions of the Owner and space admins don't include space members' private conversations. Joining a shared space also doesn't mean that you can view all conversations of other members; conversation visibility still follows each conversation's access rules.
The permission table above only describes roles within the space. For organization-level administration by Super Admins and Agent admins, and for operations such as changing the Owner from System Admin, read System Admin. Don't confuse these with space member roles.
FAQ and next steps
Can't see New Shared Space? First check whether your account has Super Admin or Agent admin permissions. If you only need to join an existing space, contact the Owner or a space admin of that space.
The task was submitted, so why can't I start a conversation yet? First check in View creation progress whether the space and sandbox are ready. Creating, creation failed, and available are different statuses; don't mistake the submission message for a completion message.
You can view the configuration but can't save it? Check the current space and your role. Shared space members have read-only access to the public capability configuration, which must be modified by the Owner or a space admin.
Can't find a capability, or is it still unavailable after you add it? Check whether the capability has been disabled, whether it comes from an allowed source, whether you have permission to use it, and whether the MCP needs authentication. Don't try to solve resource permission problems by repeatedly creating spaces; follow the capability type links above to the corresponding pages.
Once your space is ready, continue with your current task:
- View the space status after creation: Space overview.
- Learn about Agents, MCP, Skills, knowledge bases, and models before configuring: Capability Center.
- Start working in the space: Conversations.
- Maintain the space's long-term background and conventions: Space Memory.
- For organization-level member, usage, or sandbox administration: System Admin.
